ScentVault

for Mukhtar Group of Companies · Pakistan

Inventory, logistics and costing for a high-velocity fragrance oil business, with physical truth and financial truth kept deliberately separate.

  • Client Mukhtar Group of Companies
  • Category Dual-currency inventory and costing
  • ServicesSoftware

The challenge

Spreadsheets mixed four different flows — imports, local purchase, internal consumption and commercial sales — into one sheet. Reserved stock was oversold. Cargo still in transit inflated physical counts. Nobody could say which batches were still uncosted, or how much capital was tied up per supplier. A generic stock app would have made it worse, because it treats "in the warehouse" and "valued in the books" as the same event.

What Astriva delivered

  • Dual-stage gate-in — weight posted makes stock live, cost locked finalises valuation
  • USD CFR and PKR landed cost captured as independent inputs, never a converted figure
  • Customer reservations that lock weight, so free stock equals physical minus reserved
  • An import pipeline that tracks cargo in transit without inflating warehouse counts
  • Two-person maker-checker control — the creator of a transaction can never verify it

In context

Mukhtar Group imports, blends and sells fragrance oils — international imports, local sourcing, internal soap-unit consumption and commercial sales all moving at once. ScentVault tracks every kilogram from supplier order to warehouse to factory consumption to customer sale, so operations can move goods while finance books only what has been verified and locked.

Roles are Admin, Verifier, Data Entry and Viewer, with per-module permissions and an immutable audit ledger recording who created and who verified every record.

Supported outcomes

  • Overselling is structurally prevented
  • Portfolio value counts only verified, cost-locked receipts
  • History is amended through version chains, never erased
